Job Description

Our client is looking for an Executive Assistant to be the main administrative contact within the firm to manage all interactions with clients and other team members. If you are looking for a long term role where you are an integral part of a team, this role is ideal as our client wants someone customer service oriented, a team player along with a positive outlook and personality.

Main responsibilities include:

• Preparation of client packages (annual packages for clients that include financial statements, engagement letters, etc.)
• Arranging pickup or courier of client packages
• Client communication (includes in-person, over the phone, and via email)
• Coordinate scheduling with clients and employees
• Acting as a staff liaison for events and various other activities as needed
• Preparation and sending client billings
• Preparing and performing bank deposits
• Responsible for Accounts Payable and Accounts Receivable
• Collecting rent cheques for the company’s real estate
• Running employee billing system – ensuring it is entered in a timely manner, tracked, and billed accordingly
• Ordering and tracking supplies
• Various other administrative tasks as required

Qualifications:

• Experience with administrative and clerical work
• Proficiency in Microsoft Office suite
• Strong communication skills
• Strong ability to multitask
• Friendly and upbeat demeanor
